YMCA Calgary has specific cancellation policies for our registered programs, day camps and overnight camps at Camp Chief Hector. Below outline the robust policies and the situations where they may not apply:
Registered Program Cancellation
Any of our registered programs can be canceled at any time. To get a full refund of 100% it has to be at least two weeks prior to the program start date. If it is less than two weeks, but the program has not started yet, registrants will be required to pay an administrative fee of 25% of the total registration fee. If the program has already started, YMCA Calgary does not offer refunds.
Members need to have an active membership for the duration of a registered program if they use to utilize the priority registration day and the discount. If they wish to cancel their membership, the participant will be withdrawn from the program and re-registered at the non-member rate and be charged the difference.
Drop-in Fitness Cancellation Policy
If you reserve a spot in a drop-in class, but can’t make it, you are responsible for canceling your online reservation at least 2 hours prior to class start time to avoid a “no show”. Three no shows in 30 days will result in a 7-day ban from online reservations.
If the reason for cancellation is medical (with a signed doctor’s note) and it is less than two weeks prior to the program starting, YMCA Calgary will waive the administration fee and the participant will be entitled to a full refund. If the reason for cancellation is medical and the program is already in session, the participant will be entitled to a pro-rated refund that will deduct the number of classes that have already taken place.
Day camps can be canceled at any time. To get a full refund, a notice of cancellation must be given at least two weeks prior to the day camp starts. If it is less than two weeks but before the start date of the camp, registrants will be required to pay an administrative fee of 25% of the total registration fee, and the participant will be entitled to a 75% refund of the camp. If the camp has already started, YMCA Calgary does not offer refunds.
Camp Chief Hector
Cancellations less than 60 days before the program start date are charged a cancellation fee of 25% of the total registration fee. Cancellations less than 14 days before the program start date will be charged the full camp fee. Medical cancellations will receive a refund with a valid note from your primary health care provider. Cancellations due to illness, on the first day of program or after, will be pro-rated from the time of the cancellation. Refunds will not be issued where a camper is removed from the camp program at the choice or request of the camper or parent(s)/guardian(s), or because of not following the camper code of conduct for behaviour or camp rules.
